JOB TITLE: Catholic Elementary School Administrative Assistant
REPORTS TO: Elementary School Principal
Vision
St. James School (SJS) is located in Sewickley, PA which is a part of the North Hills Regional Catholic Elementary Schools (NHRCES) within the Diocese of Pittsburgh. The Administrative Assistant will work in conjunction with the principal, faculty and staff to operate and manage a preschool through eighth grade elementary school while keeping the safety and well-being of the students a top priority. This role requires excellent communication skills, both internally and externally within the school community.
The SJS Administrative Assistant is a fully initiated, practicing Catholic committed to Gospel values. He or she values the organization and is responsible for management of resources and helps SJS to fulfill the Church’s mission and purpose.
Responsibilities and Tasks
Answers phone, sorts mail, acts as school receptionist
Interacts with students regarding a variety of needs, including but not limited to attending to basic first aid needs, calling parents when necessary, handing out late slips, etc.
Completes registration and inquiry forms for all prospective students
Maintains current student records (both hard copy and digital) via Student Information System, FACTS Management System
Organizes office work so that due dates are met for records and reports
Types and prepares school reports as assigned
Prepares replies to routine correspondence
Maintains files
Maintain the Annual Daily Attendance Reports after each grading period
Does record keeping for school related projects
Keeps school records and business confidential
Prepares the monthly parent newsletter for distribution
Prepares envelopes and collects money processed through Homeroom
Discusses tuition aid and tuition plans as well as collects, posts and gives receipts for tuition payments
Prepares and updates School Directory and Class Lists
Qualifications
I. Office Practice:
Receives all visitors coming into the school graciously
Can communicate effectively orally and in written form
Understands that handling interruptions is a key part of the position
Is skillful in using office machines
Maintains an efficient filing system
Knows how to use technology effectively including Microsoft Office Suite and Google Suite
Is confidential in handling business matters
II. Administrative Capacity:
Has ability to deal with children and adults tactfully, courteously, and with discretion
Is prompt in completing work
Has ability to follow instructions
Is willing to cooperate with the principal, teachers, visiting or supervising personnel, parents and pupils
Has respect for confidential matters
Has knowledge of Diocesan policies or is willing to learn
Is able to prioritize multiple tasks according to organizational needs
Maintains accurate work and sees tasks to completion
Is diligent and conscientious in the performance of tasks
Requirements
High School Diploma or equivalent required
Social media experience is preferred
Must be able to work in a rigorous office environment
Clear background check required
