Assistant Regional Business Manager Job Description (ABM)

The  Assistant Business Manager for the North Hills Regional Catholic Elementary Schools (NHRCES) is responsible for financial and administration-related activities of the following schools: Blessed Francis Seelos Academy, Blessed Trinity Academy, Christ the Divine Teacher Catholic Academy, Holy Cross Academy and Saint James School  (Sewickley). The position reports to the Regional Business Manager  to assist in the management of finance,  facilities, and human resource needs of the schools. The position is a 12 month full time position based in Pittsburgh, PA.

Vision

The NHRCES ABM is a professional administrator in support of the Regional Business Manager (RBM). The NHRCES ABM  assists in the stewardship of all temporal activities of the NHRCES. The emphasis of this ministry is on specific duties in the areas of finance,  tuition management, plant management, human resources,  and any additional duties as required by and in support of the RBM responsibilities to the NHRCES.

The NHRCES ABM is a fully initiated, practicing Catholic committed to Gospel values. He or she values the organization and responsible management of resources and helps the NHRCES to fulfill the Church’s mission and purpose.

Responsibilities and Tasks

Administration

The NHRCES  ABM collaborates with the  RBM and regional staff, under his supervision, and with other members of the NHRCES staff, integrating his or her own area of responsibility with the overall NHRCES endeavor. This responsibility includes the NHRCES and schools operations. 

Finance

The NHRCES ABM:

1. Is responsible for entering all transactions into Quicken for all locations and submitting monthly to RBM .
2. Assists in financial reporting, payroll, employee benefits, accounts payable and accounts receivable using the accounting, payroll and other systems of the diocese.
3. Is responsible for tuition oversight and working with the schools and the Diocese in grant and aid awards.
4.  Apply tuition charges, credits, financial aid, and scholarships to FACTS tuition agreements
5.   Maintain relationships with customers and assist them with their payments and questions.
6. Manages the purchasing function of all programs within the NHRCES according to  budget.

Property Maintenance

The NHRCES  ABM:

1. Collaborates with RBM to assist in special projects and maintain accurate bookkeeping of expenditures.
2. Works With RBM to maintain financial reports on projects and correctly processes payments.
3. Assists with reporting and site visits

Human Resources

The NHRCES Business Manager:

1. Works in collaboration with the RBM  to develop, implement and maintain personnel policies.
2. Assist in HR functions including record keeping,  payroll, and orientations.
3. Assists in payment of salaries and benefits.
4. Maintain safe environment database

Qualities

Effective functioning in this position requires that the NHRCES  ABM have a good sense of stewardship and be well organized, diplomatic and attentive to details. The NHRCES ABM  needs to possess the ability to work collaboratively and to keep confidences when appropriate.

Competencies and Skills

Competencies and skills that are particularly important for the effective exercise of the role of the NHRCES ABM:

Knowledge

The NHRCES Business Manager should be:

1. Knowledgeable of personnel issues, including policies, procedures, selection, insurance, employee benefits, etc.
2. Knowledgeable  of  construction  and  maintenance  according  to  diocesan  policies  and procedures.
3. Knowledgeable of safety and security issues.
4. Knowledgeable  of  the  principles  of  accounting  according  to  diocesan  policies  and procedures.
5. Knowledgeable  of  the  NHRCES and  schools  accounting  systems  according  to diocesan policies and procedures.
6. Familiar with pertinent and applicable civil law.
7. Familiar with supervisory procedures.

Formation, Training and Criteria for Readiness

Preparation for the role of the NHRCES ABM needs to include development of the competencies and skills as outlined above. Effective exercise of this role particularly requires:

1. An orientation to the mission of the diocese and of the NHRCES.
2. Commitment to continuing education and professional development.
3. A bachelor’s degree in business administration, accounting  or related field
4. 1-2 years experience in accounting or bookkeeping
5.  Experience with Quicken software a plus
6.  Experience with the Google Applications Suite 
7.  Experience with Tuition Management a plus

7. Mandated Reporter Training
