Marketing and Communications Project Manager POSITION SUMMARY Serves as the Project Manager for the Marketing & Communications Department Team for day-to-day operations to ensure that the department is providing timely and appropriate support to internal clients. Assesses relevant data, develops multi-channel marketing plans, measures the success of marketing initiatives, and manages alignment of team’s efforts in alignment with the University’s strategic goals and values.

ESSENTIAL FUNCTIONS
PROJECT MANAGEMENT Serves as project manager for all marketing and communications requests from internal clients, as well as ongoing marketing department projects and initiatives. Streamline and maintain project management processes and best practices, utilizing project management software (Basecamp, SharePoint) or other tracking mechanisms as needed to keep team organized, on-time and on-budget. Assign and delegate requests, projects and/or tasks to team members within the department or to an appropriate contractor. Maintain and build relationships with internal departments and external partners to ensure project accuracy, plan for events, and gather information to develop the voice and brand of the university. Primary contact for internal clients, as well as external partners and vendors (writers, printers, photographers, and designers). Accountable for keeping stakeholders informed throughout the project lifecycle and obtaining/tracking appropriate approvals along the way. Contributes to the efficiency of the Marketing and Communications Department by performing other duties and special projects, as assigned. Tracks deadlines and advises internal and external project members proactively in advance of deadlines to ensure that deadlines will be met or that extensions that need to be secured are secured. Ensures that appropriate photo/interview consent forms are executed and filed for easy reference in a centralized manner for the Marcom team to access, particularly for legal purposes. Maintains centralized filing system and processes for accessing university assets, including but not limited to photos, videos and b-roll.
PLANNING Assists with the development of the annual budgets for the Department and ensures that appropriate departmental procedures are established and followed to track funds committed and spent in alignment with annual budgets. Tracks funds committed and spent in alignment with annual budgets. Develops creative briefs in collaboration with the marketing and communications team. Identifies and executes an efficient and effective balance in the use of in-house resources while leveraging both existing and prospective external marketing partnerships. Appropriately allocates resources to achieve marketing initiatives and goals. Fosters relationships with marketing partnerships and internal clients, as well as external partners and vendors (writers, printers, photographers, and designers). Obtains necessary specs for the development of advertising and promotional materials and communicates accordingly to team members and vendors to ensure the efficient use of resources. Assists with university event promotions and coordination.
COLLABORATION Participates in team meetings to support marketing and communications planning and implementation efforts. Assists VP of Marketing on department initiatives. Works with senior leadership to prioritize items, address barriers, determine plan and make cross-campaign decisions to ensure cohesion and consistency. Collaborates with marketing, communications, admissions, and advancement teams to understand priorities and identify appropriate marketing tactics to meet their needs and goals according to the University’s strategic plan. Collaborates with multiple stakeholders to garner support for marketing strategies. Ensures that supervisor and management are appropriately apprised of opportunities and issues in a timely manner. Manages strategic vendor and consulting arrangements as designated by the VP of Marketing & Communications. Works within departmental budgets, maintains contracts file and renewal dates, and processes department invoices, expense reports.
SUPERVISION Supervises team members/contractors as designated by the VP, Marketing & Communications.
MINIMUM EDUCATION & EXPERIENCE Bachelor’s degree from an accredited college or university in marketing, communications, or related fields.
At least (3) years of experience in a marketing and communications environment.
At least four (4) years project management experience.
REQUIRED SKILLS, ABILITIES AND/OR LICENSURE Demonstrated project management, organizational, and interpersonal skills. Demonstrated leadership experience. Excellent verbal and written communication skills in English. Proven ability to handle confidential and sensitive information in a professional manner. Ability to collaborate with a variety of departments and diverse perspectives Demonstrated ability to see the big picture while also focusing on the details to ensure fidelity of marketing planning and implementation across the enterprise. Strong organizational and time management skills. Ability to collect and analyze and synthesize data and information, provide alternatives and recommendations, and produce reports. Proficiency in Microsoft Office, specifically Outlook, Word, PowerPoint, and Excel. Demonstrated experience with project management software (Basecamp, SharePoint, or other) Self-starter with the ability to set priorities and work both independently and as part of a team. Demonstrated diplomacy and confidentiality while working with vendors, contractors, media, and the university’s internal stakeholders. Detail-oriented and adept at handling multiple tasks in a supportive, fast-paced environment
