Sales and Marketing Coordinator
Essential Duties and Responsibilities:
Create and send out rental agreements and communications with incoming programs and update the events calendar with all the details.
Respond to event inquiries regarding Private, Group or Passionist led events and programs
Maintaining data of incoming programs with length of program, number of participants on monthly basis
Process event registrations, room assignments, deposits/payments, refunds, and cancellations
Coordinate weekly staff meeting.
Creating and sending emails as needed using an approved system.
Updating website with proper registration links and dates of future events.
Assist volunteers with the check in process for Passionist led event groups.
All other duties as required
This position is fluid; Depending on the time of the year the requirements and priorities can change.
Operating decisions must be made in consultation to be approved by the Chief Operating Officer.
Preparation of Banquet Event orders and responsible to ensure they are issued and distributed in a timely fashion.
To project business opportunities in order to increase revenue
Communication - Ensure all staff is aware of the goals and objectives of the L&R, Rooms, F&B Departments and to achieve and maintain good relationship amongst the Property personnel.
To participate in preparation of the property strategic plan, marketing plan and goals program.
To regularly update the COO on all operations achievements and key issues
To conduct weekly briefings to improve all aspects of the property.
To attend all other meetings as required by the administration team.
To monitor and check event participant satisfaction.
To actively engage and participate in effective communications within the property.
To adhere to all the property standards and procedures at any given time.
Answer banquet and sales inquiries and routing them to appropriate personnel.
Respond within 24 hours to any group, checking space/rates in system and communicating to respective team members follow up.
Respond to requests for proposals for small meetings / events including set-up, food and beverage needs, rooms and audio-visual needs.
Ensure accurate follow up and communication both internally and to the guest / client.
Ensure a positive working relationship between all departments.
Able to generate various reports from approved systems to track group and event KPI’s.
Maintain up-to-date activity and rate information for each account in the system.
