The Business Unit Manager is a dynamic leadership role that requires financial expertise for the Campus Lab School (CLS) and the Early Learning Center (ELC) (“the school”). The position will be charged with maximizing the school’s financial performance by developing and refining it’s systems. This position will work closely with the leadership in the school, and the Office of Finance with a focus on accounting, budget, restricted funds, and grant operations of the school.
Essential Functions: Budget:
Assists with the development and management of the annual operating budget(s) for the CLS and the ELC.
Supports the mission of the school and university and aligns strategic budget planning to the four pillars.
Provides monthly, quarterly, and annual financial reports to the Interim Executive Director, the Dean, College of Arts and Sciences (CAS), and others within the unit and the Office of Finance.
Completes quarterly budget forecasts for the Campus Lab School and the Early Learning Center and reports findings to the Interim Executive Director, the Interim Provost and Dean, CAS and the Office of Finance.
Provides creative alternatives and recommendations to reduce costs and/or repurpose expenditure to improve the financial performance of the CLS and the ELC.
Maintains all billing records in support of the school’s operations.
Financial:
Develop short- and long-term financial plans for CLS and ELC.
Ensures accuracy of actual and budget financial reporting.
Ensures expenditures are recorded to the appropriate account(s) and object codes.
Performs Procurement (Carlow Market) functions including purchase orders, and contracts/agreements. And serves as Corporate Card Reviewer for multiple Cardholders within the school.
Administrative:
Collaborates with the Executive Director, the Interim Provost and Dean of CAS with strategic planning.
Communicates with staff in the school concerning business matters and advises them on standard operating procedures.
Coordinates with other University departments to process financial and personnel transactions.
Experience using Enterprise Resource Planning (ERP) systems or data warehouse retrieval is essential.
Develops and implements systems to maintain records on employees, equipment, and compliance related activities, cooperation with related Carlow University offices.
Attends and participates in workplace and financial training sessions.
Tuition Process/Financial Aid:
Oversee/manage schools’ financial aid program/budget.
Coordinate the distribution of funding to families with CLS & ELC Leadership Team.
Provide families with information on financial aid resource.
Work with University Student Accounts for all billing matters, to include tuition payments, extended day, after school tutoring and summer camps.
Facilitate collection of delinquent accounts.
Assist parents/families with online bill-pay login.
Collaborate with the University Advancement department to facilitate the solicitation individuals and businesses to participate in Pennsylvania’s Educational Improvement Tax Credit program through the organization and maintain paperwork and communication with the state to receive credit.
Advise and assist prospective donors and their professional advisors in their charitable and estate planning efforts.
Compliance:
Assists with University requirements with compliance related matters, such as Conflict of Interest (COI), Sarbanes-Oxley (SOX), etc.
Conflict of Interest (COI):
Serve as the school’s COI liaison in retrieving and tracking COI disclosures. Assists with resolution of conflicts and shares findings with the Interim Executive Director of the Campus Lab School and the Early Learning Center.
Prepares annual compliance reports of COI disclosures to the Office of Finance.
Sarbanes-Oxley (SOX):
Responsible for completing the SOX questionnaire for the Campus Lab School and the Early Learning Center. Ensures internal controls are in place and are effective.
Other Duties:
May coordinate financial aspects of research proposals, contracts, and sub-contracts, including budget development, proposal preparation, adherence to funding requirements, liaison with university administrators, and state, federal, and private funding sources.
May participate in developing, implementing, and maintaining policies, objectives, and short- and long-range planning; develop and implement projects and programs to assist in accomplishing established goals.
Other duties as assigned.
MINIMUM EDUCATION LEVEL REQUIRED:
Minimum Qualifications: Education:
Bachelor's degree in accounting, finance, business administration, or related field or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of general accounting principles and practices.
MINIMUM RELATED EXPERIENCE REQUIRED:
Experience:
Two to three years’ experience directly related to the duties and responsibilities specified.
Knowledge, Skills, and Abilities:
Knowledge of finance, accounting, budgeting principles, and cost control procedures.
Ability to develop and maintain record-keeping systems and procedures.
Ability to analyze and interpret financial data and prepare financial reports, statements, and/or projections.
Strong computer skills with a proficiency in Microsoft Excel.
Detail-oriented in work as well as in reviewing the work of others.
