Event Coordinator
Essential Duties and Responsibilities
On-site point of contact for Sponsored/Hosted Events.
Coordinating Fundraising
Coordinates Summer and Thanksgiving Appeal
Coordinates Grant writing
Coordinating Passionist event Promotions
Leading Passionist event promoters meeting during weekend events.
Assisting in creative ways of promotions
Assisting with social media (posting of weekend or gala photographs)
Coordinating Promoters workshop w/ Program Director
Assists at bookstore – materials to be ordered and overall look of bookstore.
Coordinating Chapel News Monthly
Assist Sales and Marketing with publishing annual newsletter, program brochures, Passionist event brochures, and drafting letters from PIT as needed.
Assists accuracy for future mailings.
Communicating event requirements in a timely and accurate manner to all internal groups during Parish based weekend Passionist events with;
Prayer services, leading conference
Spiritual conferences with the guests
Setting up for mass, greeting, assistance with registration on Fridays
Technology set up and troubleshooting
Coordinate Mass volunteers and readers
Check out purchases and donations, process credit cards and reporting it to the Office Coordinator
Creating a welcoming environment for the Passionist event groups and ensuring their needs are met (multi-media, sound system, Microphones, dietary requirements etc.)
Coordinate updating contact information of Passionist event guests into database.
Communicating with all departments as required, ensuring delivery of superior guest service.
Ensure that Megasys and all approved software is updated daily for all event bookings.
Ensure feedback received from host / guests is passed on to all departments.
