Part Time Office Staff FLSA Status Non-exempt Reports to: Principals Campus: Ave Maria Academy - Mt. Lebanon General Summary: The job of School Office Staff is for the purpose of providing secretarial and administrative support to the Administration; communicating information to students, parents, and staff and supporting the broad array of services provided to students, parents, instructional and support employees. Essential Duties and Responsibilities:
Recognizes and supports the unique Catholic mission of the school by speaking and acting consistent with the teachings of the Roman Catholic Church.
Greet Parents, Students and Visitors in a professional manner
Greets all incoming visitors for the purpose of ensuring that guests sign in/out as required.
Answer phone calls and direct callers to the appropriate party
Process, sort, and route incoming and outgoing mail
Coordinate and schedule appointments and meetings
Perform other administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, and conducting research
Administers first aid and prescription medications to students for the purpose of providing emergency or necessary care in accordance with district, state and federal requirements.
Assists other personnel for the purpose of supporting them in the completion of their work activities.
Collects fees and/or funds from student events (e.g. field trips, uniforms, ticket sales, yearbooks, dances, fundraisers, student fee money, etc.) for the purpose of ensuring the accuracy and timely completion of transactions.
Maintains inventory of supplies and materials (e.g. forms, office supplies, etc.) for the purpose of ensuring items’ availability.
Knowledge of and strong commitment to the mission of South Regional Catholic Elementary Schools and the Catholic Church.
Ability to read, comprehend and communicate effectively, both verbally and in writing, including proper grammar and punctuation, to ensure materials are prepared professionally.
Ability to maintain confidentiality.
Ability to work collaboratively in a team environment, exercising courtesy to fellow employees, students, and the general public.
Requires a high level of computer proficiency, managing various software-related applications, including, but not limited to, Microsoft Office; Ability to utilize Outlook for email, calendaring, scheduling appointments, and setting reminders.
Previous experience working in a school environment (Preferred)
Language Skills:
Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees and the general public.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasonable Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
