Position Overview: We are seeking a highly organized and personable School Secretary to manage the day-to-day administrative tasks of our school. The ideal candidate will be the first point of contact for parents, students, and visitors, providing exceptional customer service and support. This role is crucial in ensuring the smooth and efficient operation of the school’s office, handling a variety of administrative duties, and supporting both students and staff. Key Responsibilities:
Office Administration:
Greet visitors, answer phone calls, and handle inquiries in a professional and friendly manner.
○ Manage the school’s front desk, including maintaining a welcoming and organized environment. ○ Manage the school calendar
Student and Parent Support:
Assist parents and students with dismissal, lunch, and other administrative processes.
○ Maintain accurate student records, including attendance, contact information, and medical records. ○ Coordinate and process student absences, early dismissals, and late arrivals.
Communication and Coordination:
Prepare and distribute internal and external communications, including newsletters, notices, and announcements.
○ Coordinate with teachers and staff to facilitate the exchange of information and ensure smooth communication. ○ Assist in organizing and supporting school events, activities, and meetings.
Data Management:
Maintain and update student and staff databases, ensuring accuracy and confidentiality.
○ Handle and file school documents, including correspondence, reports, and records, in compliance with school policies and regulations.
Office Supplies and Equipment:
Order and manage office supplies, ensuring that all necessary materials are available and in good condition.
○ Oversee the maintenance and repair of office equipment and liaise with service providers as needed.
Support for School Leadership:
Provide administrative support to the Principal, and other school leaders as required.
○ Assist with special projects and other tasks as assigned by school leadership. Qualifications:
High school diploma or equivalent; Associate’s degree or relevant certification preferred.
Minimum of 2-3 years of experience in an administrative role, preferably within an educational setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
Excellent organizational, multitasking, and time management skills.
Strong interpersonal and communication skills, with a customer-service-oriented approach.
Ability to maintain confidentiality and handle sensitive information with discretion.
Positive attitude, attention to detail, and the ability to work independently and as part of a team.
